Description of Duties for Volunteer Positions

Tower Coordinator & Tower Helper - Volunteer Position

  • Prior to race day ensure that sufficient sign-up sheets, N.M.A. Membership packages, CMRC Membership forms, race order sheets, practice sheets, practice tickets & pens are available.
  • Coordinate tower runner for necessary races (National & BC)
  • Arrange for necessary number of lap counters, tower helper and race results person for each event
  • Ensure that these people have necessary supplies to complete the duties for the event
  • Ensure Flagger Coordinator is ready for event
  • Sign up riders on race day
  • Ensure necessary filing systems are organized in tower
  • Clean up and put away equipment at end of day
  • If unable to attend race, arrange for replacement, advise Race Event Staff Coordinator of change
  • Report to Race Event Staff Coordinator

Tower Runner - Volunteer Position

  • Deliver information and equipment between tower, announcer and lap counters as required
  • Report to Tower Coordinator

Lap Counter Coordinator / Lap Counters - Volunteer Position

  • Record rider laps on scoring sheets
  • Report to Tower Coordinator

Series / Results Coordinator - Volunteer Position

  • Prior to race day, ensure there are sufficient results sheets for event
  • Ensure computer is arranged to be at BC events
  • Prepare results after each moto and post results on board; compile running total of points for series
  • Give copies of overall race day results to CMRC and webmaster
  • If unable to attend, arrange for replacement and advise Tower Coordinator of change
  • Report to Tower Coordinator

Admission Gate Person - Volunteer Position

  • Admit riders & fans to event, sell admission & camping passes
  • Provide race day information and handouts
  • Count cash and remit to Treasurer (except National event)
  • If unable to attend event, arrange for replacement and advise Race Event Staff Coordinator
  • Report to Race Event Staff Coordinator, turn funds over to Treasurer

Start Gate Person - Volunteer Position

  • Clean and prepare gate area before race, test gate operation before race
  • Operate start gate during race
  • Post race order on white board and update as required
  • Report any problems or required repairs to Race Event Staff Coordinator
  • Clean up area and put away equipment post race
  • Coordinate staging person for required races (National & BC)
  • If unable to attend race, arrange for replacement and advise Race Event Staff Coordinator
  • Report to Race Event Staff Coordinator

Staging Person - Volunteer Position

  • Work closely with Start Gate person and assist as needed
  • Stage riders during event
  • Reports to Start Gate Person

Referee / Starting Board Person - Volunteer Position

  • Referee event
  • Outline event proceedings, rules, safety and flags at Rider’s Meeting
  • Hold starting board for each race
  • Report to Race Event Staff Coordinator

Announcer - Volunteer Position

  • Set up and test PA system before race
  • Ensure equipment is in satisfactory working order at all times
  • Promote upcoming races
  • Announce Sponsors, event activities, 50/50 sales, etc
  • Pack up and store PA system as required
  • Report to Race Event Staff Coordinator

Watering Coordinator - Volunteer Position

  • Set up / clean up of pumps and ensure that they are operational
  • Water track and coordinate helpers to assist during event
  • Ensure sprinkler heads and watering system is in good repair
  • Bring necessary equipment to event (gas, oil, parts & supplies)
  • Ensure all equipment is properly maintained as required
  • If unable to attend event, arrange for replacement and advise Race Event Staff Coordinator
  • Report to Race Event Staff Coordinator

Groomer - Volunteer Position

  • Arrange equipment as necessary prior to event
  • Groom track before event as required
  • Report to Race Event Staff Coordinator

Flagger Coordinator & Flaggers - Paid or Volunteer Position

  • Coordinator arranges and trains flaggers for each event
  • Coordinator ensures enough flags are available and that they are in good order and clean
  • Flag riders and first aid to warn of accidents or obstacles on track
  • Report to Tower Coordinator

Garbage Coordinator - Volunteer Position

  • Remove litter from track area and bins; line garbage bins with bags
  • Arrange for volunteer “Spring” and “fall” general track clean up as needed
  • Arrange for drop off / pick up of disposal container before and after event as needed
  • Ensure toilets have paper
  • If unable to attend event, arrange for replacement and advise Race Event Staff Coordinator
  • Report any problems to Race Event Staff Coordinator

First Aid - Paid Position

  • Provide emergency first aid assistance to riders, spectators, volunteers & staff as needed
  • Report to Race Event Staff Coordinator

Race Event Staff Coordinator - Volunteer Position

  • Arrange and ensure the following positions are filled:
  • First Aid Person
  • Announcer
  • Admission Gate Person
  • Finish Line Flagger
  • Referee
  • Start Gate Person
  • 50/50 Coordinator
  • Watering Coordinator
  • Groomer
  • Radio Communications Coordinator
  • Garbage Coordinator
  • Tower Coordinator
  • Assist and respond to the above people and situations as needed
  • Ensure concessions and toilets are arranged for event
  • Report to President

50/50 Coordinator & Ticket Sales Coordinator - Volunteer Position

  • Ensure there are sufficient 50/50 tickets for event
  • Obtain float from Treasurer at beginning of season
  • Maintain float for each event
  • Organize supplies
  • Sell tickets to spectators and riders
  • Count and divide proceeds, give to Treasurer
  • Arrange for selection and announcement of winning ticket
  • Pay out proceeds to winner and delivery of special ticket prizes
  • Arrange for printing of tickets for special ticket promotions
  • Arrange for volunteers to assist in ticket sales
  • If unable to attend event, arrange for replacement and advise Race Event Staff Coordinator
  • Report to Race Event Staff Coordinator

Club Historian - Volunteer Position

  • Take photographs at events and banquets (club will pay for film & developing)
  • Collect newspaper clippings of events
  • Maintain file of photographs & clippings
  • Provide pictures to webmaster to post on site
  • Report to Tower Coordinator

Trophy Coordinator - Volunteer Position

  • Ensure there are trophies for upcoming events
  • Use left overs for future events
  • Order fill-ins and new plaques as needed
  • Order complete sets for special events
  • Pick up trophies and deliver to track
  • Set up trophies for presentation in tower and present trophies to winners
  • Pack up excess trophies at end of event and store them
  • If unable to attend event, arrange for replacement and advise Tower Coordinator
  • Report to Tower Coordinator

Newsletter Editor - Volunteer Position

  • Write a monthly or quarterly newsletter, include a wanted or sale section
  • Arrange for contributors for articles; check with Executive for additions
  • Arrange for printing and distribution to members via mail, website and handouts at events
  • Report to President

Promotions Manager - Volunteer Position

  • Arrange for yearly and National sponsors
  • Fax or email press release to media week before race and update Steve Marshall Ford for their community events cruiser and free ads
  • Be available to answer media questions, give interviews, etc.
  • Have good knowledge of club history, admission rates, race times, club details, etc.
  • Obtain copies of race results from Results Coordinator and fax or email to media
  • If unable to attend event, arrange for replacement and advise President
  • Report to President

Webmaster - Volunteer Position

  • Update, refresh and provide timely, accurate information on website for members and sponsors
  • Provide fun, interesting format that is always changing to encourage frequent and regular visits
  • Focus on attracting new club members
  • Report to President

Finish Line Flagger - Volunteer Position

  • Report to Race Event Staff Coordinator

Radio Communications Coordinator - Volunteer Position

  • Arrange for and deliver radios and walkie talkies to track in good working order and are charged
  • Assign radios to track personnel
  • Collect all radios, return, recharge and store radios for next event
  • Report any problems to Race Event Staff Coordinator

Bike Shop Liaisons / Membership Coordinator - Volunteer Position

  • Assemble CMRC and N.M.A. membership packages
  • Supply local and out of town shops with membership packages, day passes,Lordco discount cards
  • keys and posters for upcoming events
  • Pick up money and membership applications from bike shops as needed
  • Assist all prospective members to obtain memberships or day passes
  • Report to President, turn over funds to Treasurer

General Track Maintenance / Clean Up - Volunteer Positions

  • The track can always be cleaned and maintained ….
  • Pick up garbage and report any required repairs to Executive Members
  • Attend work parties to maintain track facilities
  • Contact Executive

Misc. Race Day Activities - Volunteer Positions

  • Put up signs on highway prior to event and store after event
